How We Protect Your Privacy

ConserveConnect respects your privacy and is committed to handling personal information lawfully, fairly, transparently and securely. This Privacy Policy explains what personal information we collect, why we use it, how it may be shared, how long it may be kept and the rights available to you.

This policy applies to the ConserveConnect website, accounts, professional profiles, searchable directory, service requests, reviews, project and grant support, campaigns, enquiries, communications and other services provided through the ConserveConnect platform.

We process personal information in accordance with applicable United Kingdom data protection law, including the UK General Data Protection Regulation, the Data Protection Act 2018 and relevant amendments introduced by the Data (Use and Access) Act 2025.

Our approach is to collect only the information reasonably needed to operate the ConserveConnect network, explain how it is used and protect it appropriately.

We ask users not to provide personal, confidential or sensitive information that is not reasonably necessary for the service being used.

3. Information We May Obtain from Other Sources

In some circumstances, ConserveConnect may obtain professional or business information from sources other than the individual concerned. This may include publicly available business websites, professional registers, company information, publicly available project information or material supplied by another person in connection with a legitimate enquiry or listing.

Where appropriate, we may use this information to establish or maintain a professional listing, verify publicly stated credentials, administer our network or contact a business about claiming or updating an existing profile.

4. How We Use Personal Information

We may use personal information to:

  • Create and administer accounts

  • Operate search and directory functions within the ConserveConnect network

We do not sell personal information to advertisers or other third parties for their unrelated marketing purposes.

5. Our Lawful Bases for Processing

We identify an appropriate lawful basis for each activity involving personal information. Depending on the circumstances, these may include:

Contract

Where processing is necessary to provide a service you have requested, administer an account or membership, process a transaction or take steps at your request before entering into an agreement.

Legitimate Interests

Where processing is reasonably necessary to operate, develop and protect ConserveConnect, administer the professional network, provide relevant search and matching functions, review listings, prevent misuse, maintain appropriate records or pursue another legitimate operational purpose, provided our interests are not overridden by your rights and interests.

Legal Obligation

Where processing is necessary to comply with a legal, regulatory, tax, accounting or other applicable obligation.

Consent

Where we specifically ask for your consent for a particular activity. Where consent is relied upon, you may withdraw it at any time without affecting processing lawfully undertaken before withdrawal.

Creating an account, joining the network or submitting information does not amount to blanket consent for every possible use of your personal information.

6. Public Profiles, Listings & Search Visibility

ConserveConnect is a professional conservation network containing a publicly searchable directory. Information supplied for a public professional profile or other public listing may therefore be visible to visitors and may be indexed by search engines.

Depending on the listing type, publicly visible information may include a business or organisation name, professional name, location or geographical coverage, website, business contact details, service descriptions, areas of expertise, qualifications, professional memberships, photographs, project information, reviews and ConserveConnect recognition badges.

Users are responsible for ensuring that information they submit for public display is appropriate for publication and that they have authority to provide information relating to other individuals where relevant.

7. Service Requests & Project Matching

Information submitted through a service request may be processed to administer the request and identify professionals, craftspeople, consultants, suppliers or organisations whose listed expertise appears relevant to the project.

Relevant project information may be made available to suitable network members so that they can assess whether they are able to respond. Contact information may be shared where necessary to facilitate the requested connection and in accordance with the operation of the service.

Users should avoid including personal or confidential information in project descriptions, photographs or documents unless it is reasonably necessary for the request.

8. Reviews & Review Verification

Where you submit a review, we may process your account information, review content and other relevant information to administer the review system and assess authenticity or compliance with our standards.

If a review requires verification, we may ask for limited supporting evidence such as correspondence, an invoice, quotation or other information capable of demonstrating a genuine interaction. You should redact unrelated personal, financial or confidential information where appropriate.

9. Grant Support & Project Information

Users seeking grant, funding or project-development support may provide information about historic buildings and proposed projects, including photographs, surveys, reports, budgets, planning information and supporting documentation.

This information may be processed for purposes including:

  • Project assessment
  • Funding-readiness review
  • Grant and funding support
  • Identification of relevant professional expertise
  • Specialist coordination
  • Project-development and related conservation-support activities

Some project information may be intended for public display where a user chooses to publish a project profile. Other documents and supporting information may remain private and be used only for project assessment, administration or specialist coordination.

Confidential or restricted project material will not normally be published unless an appropriate basis exists for doing so.

10. Vetting & Professional Recognition

Where ConserveConnect considers a professional profile for vetting or recognition, we may process information relating to professional qualifications, memberships, experience, project portfolios, public professional information, references and other evidence relevant to the applicable criteria.

Vetting and recognition are separate from paid membership. Personal information used for this purpose is processed only to the extent reasonably necessary to administer the recognition framework and maintain the integrity of the network.

11. Who We May Share Information With

Where reasonably necessary for the purposes described in this policy, personal information may be shared with categories of recipients including:

  • Relevant professionals, consultants, craftspeople, suppliers or organisations responding to a service request or project enquiry
  • Website, software, hosting and technical service providers
  • Email, communications and newsletter service providers
  • Payment and transaction service providers
  • Authentication or account-login service providers where you choose to use such a service
  • Professional advisers where reasonably necessary
  • Authorities, regulators, courts or other parties where disclosure is required or permitted by law
  • Other processors and service providers reasonably required to operate, secure or support ConserveConnect

We seek to limit information shared with third parties to what is reasonably necessary for the relevant purpose and require appropriate protections where those parties process information on our behalf.

12. Independent Professionals & Third Parties

Professionals, contractors, consultants, suppliers and organisations introduced through ConserveConnect may operate independently from Conserve Connect Ltd.

Where you subsequently provide personal information directly to an independent third party, that organisation may become separately responsible for how it handles that information. You should consider its own privacy information where appropriate.

13. Cookies & Similar Technologies

ConserveConnect may use cookies and similar technologies to operate the website, maintain security, remember preferences, support account functions, understand use of the platform and, where applicable, measure or improve our services.

Cookies and similar technologies can sometimes involve information relating to a user, browser or device and should not be understood simply as anonymous files that identify only a computer.

Where applicable law requires consent before a cookie or similar technology is used, we will seek that consent before using it. Some technologies may be used without consent where an applicable legal exception permits this, including where they are necessary for a service requested by the user.

You can manage available cookie choices through the controls provided on the website and, where appropriate, through your browser settings.

14. Marketing, Newsletters & Network Updates

Administrative messages necessary to operate your account, membership, service request, project or another requested service are distinct from direct marketing communications.

We send newsletters, promotional messages and other direct marketing communications only where permitted by applicable law. Where consent is required, we request it separately. Where another lawful route is available, we will still provide an appropriate means of opting out.

You may unsubscribe from marketing communications at any time using the unsubscribe facility provided in the communication or by contacting us. Opting out of marketing will not prevent us from sending necessary account, transactional or service-related messages.

15. International Transfers

Some service providers used to operate ConserveConnect may process or make personal information accessible from locations outside the United Kingdom.

Where this constitutes a restricted international transfer under UK data protection law, we take appropriate steps to ensure that a permitted transfer mechanism, adequacy arrangement or other required safeguard is in place.

16. How Long We Keep Personal Information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, taking account of operational requirements, the nature of our relationship with you, legal and regulatory requirements, security, dispute resolution and appropriate record keeping.

Depending on the information concerned:

  • Account and profile information may be retained while an account or listing remains active and for an appropriate period afterwards
  • Service request and project information may be retained while the request or project remains active and for a reasonable administrative period afterwards
  • Financial and transaction records may be retained where required for accounting, taxation or legal purposes
  • Review and moderation information may be retained where reasonably necessary to maintain the integrity of the review system and address misuse or disputes
  • Support, complaint, vetting and compliance records may be retained for an appropriate period having regard to the nature of the matter
  • Limited information may be retained where necessary to record and respect a request not to receive further direct marketing

When information is no longer required, it may be deleted, securely destroyed or anonymised unless there is a lawful reason for retaining it.

17. Security

We take reasonable technical and organisational measures designed to protect personal information against unauthorised access, accidental loss, alteration, misuse or inappropriate disclosure.

No online system can eliminate every security risk. Users should take appropriate care when choosing passwords, controlling access to their accounts and deciding what personal or confidential information to submit through the platform.

18. Special Category & Sensitive Information

ConserveConnect does not ordinarily require users to submit special category personal information, such as information concerning health, ethnicity, religious or philosophical beliefs, political opinions or other particularly sensitive matters.

Please avoid submitting such information unless it is genuinely necessary for the relevant service. Where special category information is processed, ConserveConnect will identify an appropriate lawful basis and additional condition as required by applicable data protection law.

19. Automated Processing & Matching

ConserveConnect may use categories, location, professional specialisms, search terms and other automated rules to identify potentially relevant listings, professionals or project opportunities.

These functions are intended to assist discovery and matching. They do not, by themselves, make decisions that produce legal or similarly significant effects on individuals.

20. Your Data Protection Rights

Depending on the circumstances and the lawful basis applying to the processing, you may have rights including:

  • The right to be informed about how your personal information is used
  • The right to request access to your personal information
  • The right to request correction of inaccurate or incomplete information
  • The right to request erasure in applicable circumstances
  • The right to request restriction of processing in applicable circumstances
  • The right to object to certain processing
  • The right to data portability where applicable
  • Rights relating to certain forms of automated decision-making where applicable
  • The right to withdraw consent at any time where consent is the lawful basis relied upon

These rights are not all absolute and their availability depends on the circumstances and applicable law.

To exercise a data protection right, please contact team@conserveconnect.com. We may need to confirm your identity before acting on certain requests.

21. Your Right to Object

You may have the right to object to processing based on legitimate interests, depending on the circumstances.

You also have the right to object to the use of your personal information for direct marketing. If you object to direct marketing, we will stop using your personal information for that purpose.

22. Data Protection Complaints

If you have concerns about how ConserveConnect has collected, used, shared, retained or otherwise handled your personal information, you may make a data protection complaint directly to us.

Please send your complaint to:
team@conserveconnect.com

We will acknowledge a data protection complaint within 30 days of receipt and will take appropriate steps to investigate it, keep you appropriately informed and communicate the outcome without undue delay.

You also have the right to raise a concern with the Information Commissioner’s Office (ICO), the UK data protection regulator. Further information is available at ico.org.uk.

23. External Websites

ConserveConnect contains links to websites operated by third parties. We are not responsible for the privacy practices or content of independent external websites. You should review their privacy information before providing personal information directly to them.

24. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in ConserveConnect services, technology, business practices or applicable legal requirements.

The current version will be published on this page. Where a change materially affects the way personal information is used, we will take reasonable steps to provide additional notice where appropriate or required.
