Where Conserve Connect Ltd determines the purposes and means of processing personal information, it acts as the data controller.
The information we collect depends on how you use ConserveConnect. It may include:
We ask users not to provide personal, confidential or sensitive information that is not reasonably necessary for the service being used.
In some circumstances, ConserveConnect may obtain professional or business information from sources other than the individual concerned. This may include publicly available business websites, professional registers, company information, publicly available project information or material supplied by another person in connection with a legitimate enquiry or listing.
Where appropriate, we may use this information to establish or maintain a professional listing, verify publicly stated credentials, administer our network or contact a business about claiming or updating an existing profile.
We may use personal information to:
We do not sell personal information to advertisers or other third parties for their unrelated marketing purposes.
We identify an appropriate lawful basis for each activity involving personal information. Depending on the circumstances, these may include:
Where processing is necessary to provide a service you have requested, administer an account or membership, process a transaction or take steps at your request before entering into an agreement.
Where processing is reasonably necessary to operate, develop and protect ConserveConnect, administer the professional network, provide relevant search and matching functions, review listings, prevent misuse, maintain appropriate records or pursue another legitimate operational purpose, provided our interests are not overridden by your rights and interests.
Where processing is necessary to comply with a legal, regulatory, tax, accounting or other applicable obligation.
Where we specifically ask for your consent for a particular activity. Where consent is relied upon, you may withdraw it at any time without affecting processing lawfully undertaken before withdrawal.
ConserveConnect is a professional conservation network containing a publicly searchable directory. Information supplied for a public professional profile or other public listing may therefore be visible to visitors and may be indexed by search engines.
Depending on the listing type, publicly visible information may include a business or organisation name, professional name, location or geographical coverage, website, business contact details, service descriptions, areas of expertise, qualifications, professional memberships, photographs, project information, reviews and ConserveConnect recognition badges.
Users are responsible for ensuring that information they submit for public display is appropriate for publication and that they have authority to provide information relating to other individuals where relevant.
Information submitted through a service request may be processed to administer the request and identify professionals, craftspeople, consultants, suppliers or organisations whose listed expertise appears relevant to the project.
Relevant project information may be made available to suitable network members so that they can assess whether they are able to respond. Contact information may be shared where necessary to facilitate the requested connection and in accordance with the operation of the service.
Users should avoid including personal or confidential information in project descriptions, photographs or documents unless it is reasonably necessary for the request.
Where you submit a review, we may process your account information, review content and other relevant information to administer the review system and assess authenticity or compliance with our standards.
If a review requires verification, we may ask for limited supporting evidence such as correspondence, an invoice, quotation or other information capable of demonstrating a genuine interaction. You should redact unrelated personal, financial or confidential information where appropriate.

Users seeking grant, funding or project-development support may provide information about historic buildings and proposed projects, including photographs, surveys, reports, budgets, planning information and supporting documentation.
This information may be processed for purposes including:
Some project information may be intended for public display where a user chooses to publish a project profile. Other documents and supporting information may remain private and be used only for project assessment, administration or specialist coordination.
Confidential or restricted project material will not normally be published unless an appropriate basis exists for doing so.
Where ConserveConnect considers a professional profile for vetting or recognition, we may process information relating to professional qualifications, memberships, experience, project portfolios, public professional information, references and other evidence relevant to the applicable criteria.
Vetting and recognition are separate from paid membership. Personal information used for this purpose is processed only to the extent reasonably necessary to administer the recognition framework and maintain the integrity of the network.

Where reasonably necessary for the purposes described in this policy, personal information may be shared with categories of recipients including:
We seek to limit information shared with third parties to what is reasonably necessary for the relevant purpose and require appropriate protections where those parties process information on our behalf.
Professionals, contractors, consultants, suppliers and organisations introduced through ConserveConnect may operate independently from Conserve Connect Ltd.
Where you subsequently provide personal information directly to an independent third party, that organisation may become separately responsible for how it handles that information. You should consider its own privacy information where appropriate.
ConserveConnect may use cookies and similar technologies to operate the website, maintain security, remember preferences, support account functions, understand use of the platform and, where applicable, measure or improve our services.
Cookies and similar technologies can sometimes involve information relating to a user, browser or device and should not be understood simply as anonymous files that identify only a computer.
Where applicable law requires consent before a cookie or similar technology is used, we will seek that consent before using it. Some technologies may be used without consent where an applicable legal exception permits this, including where they are necessary for a service requested by the user.
You can manage available cookie choices through the controls provided on the website and, where appropriate, through your browser settings.
Administrative messages necessary to operate your account, membership, service request, project or another requested service are distinct from direct marketing communications.
We send newsletters, promotional messages and other direct marketing communications only where permitted by applicable law. Where consent is required, we request it separately. Where another lawful route is available, we will still provide an appropriate means of opting out.
You may unsubscribe from marketing communications at any time using the unsubscribe facility provided in the communication or by contacting us. Opting out of marketing will not prevent us from sending necessary account, transactional or service-related messages.
Some service providers used to operate ConserveConnect may process or make personal information accessible from locations outside the United Kingdom.
Where this constitutes a restricted international transfer under UK data protection law, we take appropriate steps to ensure that a permitted transfer mechanism, adequacy arrangement or other required safeguard is in place.
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, taking account of operational requirements, the nature of our relationship with you, legal and regulatory requirements, security, dispute resolution and appropriate record keeping.
Depending on the information concerned:
When information is no longer required, it may be deleted, securely destroyed or anonymised unless there is a lawful reason for retaining it.
We take reasonable technical and organisational measures designed to protect personal information against unauthorised access, accidental loss, alteration, misuse or inappropriate disclosure.
No online system can eliminate every security risk. Users should take appropriate care when choosing passwords, controlling access to their accounts and deciding what personal or confidential information to submit through the platform.
ConserveConnect does not ordinarily require users to submit special category personal information, such as information concerning health, ethnicity, religious or philosophical beliefs, political opinions or other particularly sensitive matters.
Please avoid submitting such information unless it is genuinely necessary for the relevant service. Where special category information is processed, ConserveConnect will identify an appropriate lawful basis and additional condition as required by applicable data protection law.
ConserveConnect may use categories, location, professional specialisms, search terms and other automated rules to identify potentially relevant listings, professionals or project opportunities.
These functions are intended to assist discovery and matching. They do not, by themselves, make decisions that produce legal or similarly significant effects on individuals.

These rights are not all absolute and their availability depends on the circumstances and applicable law.
To exercise a data protection right, please contact team@conserveconnect.com. We may need to confirm your identity before acting on certain requests.
You may have the right to object to processing based on legitimate interests, depending on the circumstances.
You also have the right to object to the use of your personal information for direct marketing. If you object to direct marketing, we will stop using your personal information for that purpose.
If you have concerns about how ConserveConnect has collected, used, shared, retained or otherwise handled your personal information, you may make a data protection complaint directly to us.
Please send your complaint to:
