Job Listing Agreement

Connecting Conservation Skills with Relevant Opportunities

The ConserveConnect Job Listing Submission Agreement explains how vacancies are submitted, reviewed and published through the Jobs & Careers section of the ConserveConnect network. It is designed to support clear, accurate and responsible advertising of opportunities connected with historic buildings, heritage and conservation.

Employers and their authorised representatives may submit vacancies for publication. ConserveConnect may also add listings researched from publicly available sources, identifying their origin and whether employer approval has been obtained.

By submitting a vacancy as an employer or authorised representative, you agree to this Job Listing Submission Agreement together with the Terms & Conditions applying to the platform and acknowledge the Privacy Policy.

Jobs & Careers listings are public. A vacancy researched and added by ConserveConnect does not, by itself, mean that the employer has authorised the listing or accepted this Agreement.

1. Acceptance of These Terms

When you submit a vacancy as an employer or authorised representative, you confirm that you have read and agree to:

You also acknowledge the ConserveConnect Privacy Policy.

Your acceptance applies to your submission and use of the job listing facility. Where you act on behalf of an employer or organisation, you must have authority to do so.

The inclusion of an employer’s name, a source link or publicly available vacancy information in a listing added by ConserveConnect does not constitute acceptance of this Agreement by that employer.

2. Who Can Submit a Vacancy

You may submit a vacancy if you are the employer concerned or have authority to advertise the opportunity on its behalf.

You must:

  • Identify the employer accurately
  • Describe your relationship to the employer honestly
  • Have authority to provide the vacancy information and accompanying material
  • Provide a genuine contact or application route
  • Avoid implying an affiliation, approval or recruitment authority that you do not hold

Where you are acting as a recruitment agency or another intermediary, your role must be clear and you must have any authority required for the advertisement and recruitment activity concerned.

3. Preparing Your Listing

Listings should provide enough information for prospective applicants to understand the opportunity and how to apply.

Where relevant, this should include:

  • The job title and employer
  • A clear description of the role and principal responsibilities
  • The location, travel requirements and any remote or hybrid arrangements
  • The employment or engagement type, working hours and contract duration
  • Salary, pay range or other remuneration information where available
  • Relevant experience, qualifications and essential requirements
  • The application method and closing date, where one applies
  • Any material conditions affecting the opportunity

You must not knowingly provide false or misleading information or omit information in a way that materially misrepresents the vacancy.

Where information is unconfirmed, it should be identified as such rather than presented as established fact.

4. Accuracy & Current Availability

You are responsible for taking reasonable steps to ensure that information you submit is accurate and current.

You must not knowingly advertise a vacancy that does not exist, has already closed or is materially different from the opportunity described.

While your listing remains active, you should update it or notify ConserveConnect promptly if:

  • The vacancy is filled, withdrawn or no longer accepting applications
  • The closing date changes
  • Pay, location, working arrangements or other material terms change
  • The application link or contact details stop working
  • You discover a material error or misleading statement

Where the platform does not provide a suitable editing facility, please contact ConserveConnect for assistance.

5. Lawful & Responsible Job Advertising

Vacancies and recruitment arrangements must comply with applicable law.

You must not submit advertisements that contain unlawful discrimination, misleading claims, fraudulent opportunities or unlawful recruitment conditions.

Requirements concerning age, disability, nationality or another protected characteristic must not be included unless there is a lawful basis for the particular requirement.

Pay and working arrangements must comply with applicable employment and minimum wage requirements. Describing a role as an internship, placement, self-employed opportunity or voluntary position does not, by itself, determine its legal status or remove statutory rights.

Where an opportunity is unpaid or expenses-only, this must be clearly stated and the arrangement must be lawful.

ConserveConnect may ask for clarification or supporting information where a requirement, employment arrangement or advertisement raises a reasonable concern.

6. Text, Images & Other Material

Where you supply descriptions, photographs, logos, documents or other material, you confirm that you have the rights or permissions needed to provide it for publication through ConserveConnect.

You must:

  • Respect copyright, trade marks, confidentiality and other rights
  • Supply any credits or licence information required for publication
  • Avoid using material in a way that falsely suggests endorsement or affiliation
  • Avoid including unnecessary personal, confidential or sensitive information

You retain ownership of rights you hold in the material.

As set out in the Terms & Conditions, material intentionally submitted for public display is licensed to ConserveConnect on a non-exclusive, royalty-free basis to host, reproduce, format and display it to the extent reasonably necessary to operate, present and promote the relevant service.

The licence does not transfer ownership to ConserveConnect. Its duration and any necessary retention following removal are governed by the Terms & Conditions.

7. Review & Publication

Submitting a vacancy does not guarantee publication.

ConserveConnect may review listings for relevance, clarity, completeness, accuracy and compliance with applicable platform standards before or after publication.

We may:

  • Request clarification or evidence of submission authority
  • Make minor spelling, formatting or presentation changes
  • Add source information or explanatory context
  • Ask for substantive corrections
  • Decline, temporarily withhold, suspend or remove a listing where there is a reasonable concern

We will not knowingly change material vacancy terms in a way that misrepresents the opportunity.

Publication does not constitute a guarantee of the employer, vacancy, working conditions or recruitment outcome.

8. Listings Researched & Added by ConserveConnect

ConserveConnect may prepare a listing using vacancy information published by an employer or another identifiable source.

Where we do so, we will identify the source and make clear whether the listing was submitted or approved by the employer or was independently researched and added by ConserveConnect.

A researched listing must not be presented as employer-submitted or employer-approved unless that position has been confirmed.

Public availability does not, by itself, give permission to reproduce protected text, photographs, logos or other material. ConserveConnect remains responsible for establishing an appropriate basis for its own use of sourced material and personal information.

An employer or rights holder may contact us to request a correction, raise a concern about publication or ask for a listing to be removed. We will consider the request and take appropriate action.

An employer is not required to accept this Agreement merely to report an error or request removal of a listing it did not submit.

9. Publisher, Approval & Vacancy Status

Listing information should distinguish between:

  • Who published or supplied the listing
  • How the vacancy information was obtained
  • Whether employer or contributor approval has been confirmed
  • When the information was last checked
  • Whether the vacancy is currently open, closed, filled or withdrawn

These describe different matters.

A vacancy shown as open does not, by itself, establish employer approval or administrative approval for publication. Equally, approval for publication does not guarantee that a vacancy remains available.

A publisher statement explains the origin or circumstances of a listing. It does not replace appropriate checks, establish permission that has not been obtained or remove responsibilities imposed by law.

10. Recruitment, Applications & Employer Responsibilities

The employer and any authorised recruiter remain responsible for their own recruitment activities, including:

  • Providing accurate information about the opportunity
  • Receiving and assessing applications
  • Communicating with candidates
  • Conducting interviews and appropriate checks
  • Making recruitment decisions
  • Agreeing lawful employment or engagement terms
  • Handling candidate information appropriately

Applicants should follow the application instructions in the listing and check material details with the employer or recruiter.

Unless a separate arrangement is expressly agreed, ConserveConnect provides a publication and discovery facility. Publication alone does not appoint ConserveConnect to recruit, screen candidates or make employment decisions on the employer’s behalf.

Any employment or engagement contract is made between the successful applicant and the employer or engaging organisation concerned.

11. Privacy & Personal Information

Job listings are public and may be visible to visitors and indexed by search engines.

Only provide contact details and other personal information that are appropriate and lawful to publish for recruitment purposes. Where you supply another person’s information, you must be entitled to provide it for that use.

Do not include candidate applications, CVs, identity documents, private correspondence or unnecessary sensitive information in public listing content.

ConserveConnect processes personal information in accordance with its Privacy Policy and the additional information on its Data Protection & Personal Information page.

Employers and recruiters are responsible for their own handling of applicant information, including providing appropriate privacy information, identifying lawful bases, maintaining security and applying suitable retention arrangements.

Acceptance of this Agreement is not blanket consent to personal-data processing or marketing.

12. Corrections, Closure & Removal

Please notify ConserveConnect promptly if a listing is inaccurate, no longer current, unauthorised or otherwise raises a material concern.

ConserveConnect may correct, close, archive, temporarily withhold or remove listings where information has changed, a vacancy has expired, information cannot reasonably be verified, or continued publication raises a legal or platform concern.

Where appropriate and reasonably practicable, we may ask the submitter or employer to clarify the position before taking action. Immediate action may be taken where necessary to protect users or comply with legal requirements.

Removal from ConserveConnect does not necessarily remove copies already held by search engines or independent third parties. Any information retained by ConserveConnect will be handled in accordance with applicable terms, the Privacy Policy and lawful retention requirements.

13. Responsibility & Liability

ConserveConnect aims to operate the Jobs & Careers section responsibly but does not guarantee that a listing will receive applications, that an applicant will be suitable, or that publication will result in employment.

Submitters remain responsible for the information and material they supply. Employers and recruiters remain responsible for their own recruitment decisions and arrangements.

ConserveConnect remains responsible for its own acts and omissions to the extent required by law. Neither acceptance of this Agreement nor a publisher statement removes that responsibility.

The responsibility and liability provisions of the Terms & Conditions apply. Nothing in this Agreement excludes or limits liability that cannot lawfully be excluded or limited, or affects applicable statutory rights.

14. Changes to This Agreement

ConserveConnect may update this Agreement to reflect changes to the service, platform functionality or applicable requirements.

The current version will be published on ConserveConnect and will apply to submissions made after it takes effect. Where a material change affects an existing submission, we will take reasonable steps to provide appropriate notice where required.

The governing law and jurisdiction provisions of the Terms & Conditions apply to this Agreement.

15. Confirmation

Before submitting a vacancy as an employer or authorised representative, you will be asked to confirm:

☐ I am authorised to submit this vacancy. I have read and agree to the ConserveConnect Job Listing Submission Agreement and Terms & Conditions, and I acknowledge the Privacy Policy.

Checking the box and submitting the vacancy records your acceptance of the terms governing your submission.

This confirmation must not be recorded as employer acceptance merely because an administrator has researched or published a listing. Any later acceptance by an employer or authorised representative must be recorded separately and accurately.
