Event Listing Agreement

Bringing People Together for Conservation & Heritage

ConserveConnect provides public event listings to help people discover conferences, workshops, training, visits, exhibitions and other activities relevant to conservation, heritage and the historic environment. We aim to support clear, accurate and responsible event information.

The Events section is for events with a physical venue, including hybrid events that also offer online participation. Online-only sessions belong in the separate Webinars section.

Organisers and their authorised representatives may submit events. ConserveConnect may also research and add events from publicly available sources, identifying their origin and any organiser confirmation accurately.

Event listings are publicly visible. Publication does not mean that ConserveConnect organises, endorses or guarantees an event. A researched listing does not, by itself, mean that the organiser has authorised the listing or accepted this Agreement.

1. Acceptance of These Terms

By submitting an event as an organiser or authorised representative, you agree to this Event Listing Submission Agreement and the ConserveConnect Terms & Conditions, and acknowledge the Privacy Policy. Please read them before submitting.

If you act on behalf of an organisation or another organiser, you must have authority to submit the listing and accept the applicable terms on their behalf. References to the organiser in a listing researched by ConserveConnect do not bind that organiser to this Agreement.

2. Who Can Submit an Event

You may submit an event that you organise or are authorised to promote. You must identify the organiser accurately, explain your role where necessary, and provide a genuine contact or booking route.

Do not claim an association with a venue, speaker, sponsor, professional body or other organisation without authority. If an arrangement is provisional, describe it as provisional rather than presenting it as confirmed.

3. Preparing Your Listing

Provide enough information for someone to understand the event and decide whether it is suitable for them, including:

  • The event title, organiser, purpose, intended audience and programme.
  • Whether attendance is in person or hybrid, and what each attendance option includes.
  • Start and end dates, times and timezone, including any recurring or separate sessions.
  • The venue name, address, postcode and appropriate arrival or meeting-point information.
  • Access arrangements, relevant restrictions and a contact for accessibility enquiries.
  • Booking requirements, availability, registration deadline and the official booking link.
  • Fees, currency, applicable mandatory charges, concessions and any important exclusions.
  • Relevant eligibility, age, membership, equipment or prior-experience requirements.
  • Where attendees can read the booking, cancellation and refund terms before committing.

Check any map marker against the venue or advertised meeting point. For recurring events, explain variations in venue, programme, price or timing. Do not omit information that would make the listing materially misleading.

For hybrid events, explain how registered attendees receive online joining instructions and whether recordings will be available. Do not publish private meeting passwords or restricted access links on a public listing.

4. Accuracy & Keeping Information Current

Take reasonable steps to ensure that information you supply is accurate, current and supported by the arrangements actually in place. Do not advertise a fictitious event, knowingly misrepresent availability, or claim accreditation, certification or professional development recognition without a proper basis.

Update the listing promptly when:

  • The event is postponed, rescheduled, cancelled or completed.
  • The venue, date, time, format, programme or a material advertised feature changes.
  • Booking opens or closes, places become unavailable, or a waiting list is introduced.
  • Fees, admission conditions, contact details or booking links change.
  • You discover an error or information that may mislead prospective attendees.

Contact ConserveConnect if you cannot make a necessary correction yourself. Updating a listing does not replace the organiser's responsibility to notify people who have already booked about material changes.

5. Lawful, Safe & Responsible Events

Events and their promotion must comply with applicable law. Organisers must make arrangements appropriate to the event's activities, audience, venue and risks, and fulfil the responsibilities that apply to their role.

Depending on the event, this includes:

  • Obtaining necessary venue permissions, licences and consents.
  • Planning for safety, suitable capacity, emergencies and first aid.
  • Coordinating responsibilities with venue operators, contractors and activity leaders.
  • Making appropriate accessibility arrangements and describing access limitations accurately.
  • Providing suitable supervision and safeguarding arrangements where required.
  • Protecting historic buildings, collections, landscapes and other sensitive sites.
  • Holding insurance required by law or the relevant venue or contractual arrangements.

Publication on ConserveConnect is not an inspection, safety assessment or certification of the event. It does not replace the duties of organisers, venue operators or other responsible parties.

6. Text, Images & Other Material

Where you supply descriptions, photographs, logos, programmes, speaker information or other material, you confirm that you have the rights or permissions needed to provide it for publication through ConserveConnect.

  • Respect copyright, trade marks, confidentiality and other rights.
  • Provide any required image credits, source acknowledgements or licence information.
  • Do not use material in a way that falsely suggests endorsement or affiliation.
  • Identify illustrative images where necessary to avoid misleading readers about the event or venue.
  • Avoid unnecessary personal, confidential or sensitive information.

You retain ownership of rights you hold in the material. As set out in the Terms & Conditions, material intentionally submitted for public display is licensed to ConserveConnect on a non-exclusive, royalty-free basis to host, reproduce, format and display it to the extent reasonably necessary to operate, present and promote the relevant service.

This licence does not transfer ownership to ConserveConnect. Its duration and any necessary retention following removal are governed by the Terms & Conditions.

7. Review & Publication

ConserveConnect may review submissions for relevance, clarity, completeness, apparent accuracy and compliance with platform standards. Submission does not guarantee publication.

We may:

  • Request clarification, supporting information or confirmation of your authority.
  • Make minor spelling, formatting or presentation changes.
  • Add appropriate source information or publisher context.
  • Ask for substantive corrections before publication.
  • Withhold, suspend or remove a listing where there are reasonable concerns.

We will not knowingly change material event details in a way that misrepresents the organiser's arrangements. Listing review does not guarantee the event's quality, safety, availability or suitability for a particular attendee.

8. Listings Researched & Added by ConserveConnect

ConserveConnect may add relevant events using official organiser websites, venue announcements or other appropriate sources. Such listings should identify their source and distinguish information researched by ConserveConnect from information submitted, confirmed or approved by the organiser.

Public availability does not, by itself, give permission to reproduce protected text, images or personal information. ConserveConnect remains responsible for the lawful use of material it selects and publishes.

An organiser or rights holder may request a correction or raise a concern about use of their material without accepting this Agreement. We will assess such requests and take appropriate action. A listing must not imply organiser authorisation or acceptance where neither has been obtained.

9. Publisher, Approval & Event Status

Publisher and provenance information explains who supplied or prepared the listing and the sources used. Organiser or contributor approval describes any confirmation actually received. An information-check date records a check at that time; it does not mean that every detail is continuously monitored.

Event status describes whether the event is scheduled, postponed, rescheduled, cancelled or completed. Booking status describes whether registration is available. These are separate from ConserveConnect's administrative approval to publish a listing.

A publisher statement provides context. It does not establish permissions, replace appropriate checks, or remove anyone's legal responsibilities.

10. Bookings, Attendance & Organiser Responsibilities

The organiser is responsible for the event arrangements within their control, including delivering the advertised programme and administering bookings, attendee communications and changes. Any ticket seller or booking provider remains responsible for its own services and applicable obligations.

Before accepting a booking or payment, the responsible provider must make clear who the attendee is contracting with, the total payable price and applicable booking conditions. Cancellation, postponement, substitution and refund arrangements must be communicated accurately and respect applicable statutory rights.

For hybrid events, make clear which activities are available online, any technical requirements and how access is supplied. Explain any photography, streaming or recording arrangements in advance, provide appropriate privacy information and obtain permission or consent where required.

ConserveConnect normally provides the listing and discovery facility. Publication or a link to a booking service does not, by itself, make ConserveConnect the organiser, ticket seller or a party to the attendance contract. If ConserveConnect takes a separate role in a particular event, that role and the applicable arrangements will be made clear; responsibility follows the role actually undertaken.

Any charge for listing or promoting an event on ConserveConnect is separate from the event admission fee and is governed by the applicable purchase terms.

11. Privacy & Personal Information

Event listings are public and may be indexed by search engines. Only include contact details and personal information that you are entitled to make public and that are appropriate for the purpose. Ensure that anyone whose details you supply understands the intended publication.

Do not publish attendee lists, private correspondence, booking records, payment information, access codes or individuals' health or accessibility information in the listing.

Organisers and booking providers are responsible for complying with data protection requirements for information they collect and use, including providing privacy information, identifying an appropriate lawful basis, securing the information and retaining it only as appropriate.

ConserveConnect's handling of personal information is explained in the Privacy Policy and Data Protection & Personal Information notice. Accepting this Agreement is not blanket consent to marketing or to unrelated uses of personal information. Where consent is required, it must be obtained separately and appropriately.

12. Corrections, Cancellation & Removal

Please report inaccurate information, unauthorised material or a change in event arrangements promptly. Organisers must communicate material changes directly to affected attendees through their booking or contact arrangements.

ConserveConnect may correct, archive, withhold or remove listings that have ended, cannot reasonably be verified, or raise legal, safety or platform concerns. Where appropriate, we will seek clarification, although urgent concerns may require action without prior notice.

Removal from ConserveConnect does not cancel an attendee's booking or settle a refund obligation. Copies held by search engines or other third parties may remain outside our control. Any records we retain will be handled in accordance with applicable law and our published policies.

13. Responsibility & Liability

ConserveConnect aims to operate the Events section responsibly but does not guarantee enquiries, ticket sales, attendance or a particular outcome from publication.

Submitters remain responsible for the information and material they supply. Organisers, venue operators and booking providers remain responsible for their own arrangements and obligations. ConserveConnect remains responsible for its own acts and omissions to the extent required by law. Neither this Agreement nor a publisher statement removes that responsibility.

The responsibility and liability provisions of the Terms & Conditions apply. Nothing in this Agreement excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited. Applicable statutory rights remain unaffected.

14. Changes to This Agreement

ConserveConnect may update this Agreement to reflect changes to the service, platform functionality or applicable requirements. The current version will be published on ConserveConnect and will apply to submissions made after it takes effect.

Where a material change affects an existing submission, we will take reasonable steps to provide appropriate notice where required. The governing law and jurisdiction provisions of the Terms & Conditions apply to this Agreement.

15. Confirmation

Before submitting an event as an organiser or authorised representative, you will be asked to confirm:

I am authorised to submit this event. I have read and agree to the ConserveConnect Event Listing Submission Agreement and Terms & Conditions, and I acknowledge the Privacy Policy.

Your acceptance is given through the confirmation checkbox on the event submission form. The statement shown on this page is explanatory and is not an interactive submission form.

Organiser acceptance must not be recorded merely because an administrator has researched or published a listing. Any later acceptance by an organiser or authorised representative must be recorded separately and accurately.
