Grant Listing Agreement

Discovering Funding for Conservation & Heritage

ConserveConnect provides public grant listings to help people and organisations discover funding opportunities relevant to conservation, heritage and the historic environment. We aim to make funding information clear, useful and responsibly presented.

Funders and authorised representatives may submit listings. ConserveConnect may also research and add grants from identifiable sources, making clear where the information came from and whether funder approval has been obtained.

A grant listing is information about a funding opportunity. It is not a grant application, an offer of funding or confirmation of eligibility. Publication does not, by itself, mean that the funder has approved the listing or accepted this Agreement.

1. Acceptance of These Terms

When you submit a grant listing as a funder or authorised representative, you confirm that you have read and agree to this Grant Listing Submission Agreement and the ConserveConnect Terms & Conditions. You also acknowledge the Privacy Policy.

Your acceptance applies to your submission and use of the grant listing facility. If you act for an organisation, you must have authority to submit the information and accept the applicable terms on its behalf.

Including a funder's name, a source link or publicly available programme information in a listing researched by ConserveConnect does not constitute acceptance of this Agreement by that funder.

2. Who Can Submit a Grant Listing

You may submit a grant that your organisation provides or administers, or that you are authorised to promote. Identify the funding organisation and your role accurately, including any separate programme administrator or intermediary where relevant.

Do not claim to represent a funder, act as its approved adviser or have a partnership with it unless that position is supported. If you wish to suggest a programme that you are not authorised to represent, contact ConserveConnect for editorial consideration rather than submitting it as the funder.

3. Preparing Your Listing

Provide the information needed to understand the opportunity, including, where applicable:

  • The grant title, funding organisation and relevant programme, round or reference.
  • A clear summary of the grant's purpose and the activities it supports.
  • Eligible applicants, geographical coverage and significant eligibility conditions.
  • Minimum and maximum awards, currency, funding percentages and important qualifications.
  • Match funding requirements and the contributions that may be accepted.
  • Funding priorities, excluded costs and activities, and material award conditions.
  • The application schedule, opening date, deadline and any specified closing time and timezone.
  • Expressions of interest, preliminary enquiries or other application stages.
  • Links to the official programme guidance and application route.
  • Appropriate public enquiry details and the current availability status.

Distinguish the amount available to an individual applicant from the total programme budget. Where an amount, date or condition is not confirmed, explain the uncertainty rather than supplying an assumed value. Do not use zero to mean that an award amount is unknown.

For rolling programmes, explain how applications are considered. For multiple rounds or stages, make clear which deadline and funding amount each entry concerns. A concise listing should still direct readers to the full guidance.

4. Accuracy & Current Availability

Take reasonable steps to ensure that information you supply is accurate, current and consistent with the funder's published guidance. Do not knowingly advertise a fictitious opportunity or present a closed programme as open.

Update the listing promptly when:

  • A round opens, closes, is extended, is paused or is withdrawn.
  • Available funding is exhausted or the programme ends.
  • Award amounts, eligibility, geographical coverage or match funding requirements change.
  • Application stages, deadlines, contact details or official links change.
  • You discover a material error or omission.

Contact ConserveConnect if you cannot make a necessary correction yourself. Updating a listing does not replace any responsibility the funder or programme administrator has to communicate changes to existing applicants or recipients.

5. Responsible Funding Information

Listings must be lawful, genuine and presented without misleading claims. Do not promise an award, imply that every eligible applicant will receive funding, or suggest that publication on ConserveConnect gives an applicant preferential treatment.

Clearly explain material conditions, including any repayment or recovery provisions, restrictions on work starting before approval, and limits on eligible expenditure. Do not present a loan, investment or other form of finance as a grant. Where a programme combines different forms of support, distinguish them clearly.

Do not imply that applicants must buy an advisory service or ConserveConnect membership to obtain a grant unless a genuine requirement has been verified and is accurately explained. Identify any relevant application charges or separate paid services transparently, without suggesting that payment guarantees success.

6. Text, Images & Other Material

When supplying descriptions, photographs, logos, guidance documents or other material, you confirm that you have the rights or permissions needed to provide it for publication through ConserveConnect.

  • Respect copyright, trade marks, confidentiality and other rights.
  • Supply required credits, source acknowledgements and licence information.
  • Do not imply endorsement or affiliation through unauthorised use of names or logos.
  • Avoid unnecessary personal, confidential or sensitive information.

You retain ownership of rights you hold in the material. As set out in the Terms & Conditions, material intentionally submitted for public display is licensed to ConserveConnect on a non-exclusive, royalty-free basis to host, reproduce, format and display it to the extent reasonably necessary to operate, present and promote the relevant service.

This does not transfer ownership to ConserveConnect. The licence's duration and any necessary retention following removal are governed by the Terms & Conditions.

7. Review & Publication

ConserveConnect may review submissions for relevance, clarity, completeness, apparent accuracy and compliance with platform standards. Submission does not guarantee publication.

We may:

  • Ask for clarification, supporting sources or confirmation of your authority.
  • Make minor spelling, formatting or presentation changes.
  • Add appropriate source information or publisher context.
  • Request substantive corrections before publication.
  • Withhold, suspend or remove a listing where there are reasonable concerns.

We will not knowingly alter material funding information in a way that misrepresents the programme. Administrative approval for publication is not an assessment of a particular applicant's eligibility or a guarantee that funding will remain available.

8. Listings Researched & Added by ConserveConnect

ConserveConnect may prepare listings using official funder websites, programme guidance or other identifiable sources. We will distinguish independently researched information from information submitted or approved by the funder and identify the sources used.

Public availability does not, by itself, permit reproduction of protected text, images, logos or personal information. ConserveConnect remains responsible for establishing an appropriate basis for its own use of sourced material.

A funder or rights holder may request a correction, raise a publication concern or ask for removal. We will consider the request and take appropriate action. A funder does not have to accept this Agreement to report an error or request removal of a listing it did not submit.

9. Publisher, Approval & Grant Status

Listing information should distinguish between:

  • Who supplied or prepared the listing and how its information was obtained.
  • Whether funder or contributor approval has actually been confirmed.
  • When the information was last checked.
  • Whether the programme is open, upcoming, closed, paused or discontinued.
  • ConserveConnect's administrative approval to publish the listing.

These describe different matters. An open status does not establish funder approval, and publication approval does not guarantee continuing availability. A check date records a review at that time, not continuous monitoring of every programme condition.

A publisher statement explains the listing's origin and verification position. It does not replace appropriate checks, establish permission that has not been obtained or remove responsibilities imposed by law.

10. Applications, Funding Decisions & Grant Support

Applicants should use the official application route and check the funder's current guidance before applying or committing expenditure. Search filters and listing summaries do not establish eligibility and cannot reproduce every programme condition.

The funder or responsible programme administrator determines eligibility, assesses applications, makes award decisions and administers funding under the applicable programme rules. Any funding agreement is between the recipient and the relevant funding parties.

ConserveConnect provides a publication and discovery facility unless a separate role is expressly agreed. Submitting a listing, contacting ConserveConnect or purchasing a platform service does not submit a funding application, reserve funding or secure an award.

Any separately commissioned Grant Support or project-development service is governed by its applicable service terms and written engagement. Purchasing support does not, by itself, establish funder endorsement or guarantee funding. Listing or promotional charges are separate from any funding application or award.

11. Privacy & Personal Information

Grant listings are public and may be indexed by search engines. Supply only contact details and personal information that you are entitled to make public and that are appropriate for the listing. Ensure that anyone whose details you supply understands the intended publication.

Do not include private applications, bank details, identity documents, confidential budgets, applicant correspondence or sensitive personal information in a public grant listing.

Funders and other organisations receiving applications remain responsible for their own handling of applicant information, including appropriate privacy information, a lawful basis, security and retention arrangements.

ConserveConnect's handling of personal information is explained in the Privacy Policy and Data Protection & Personal Information notice. Acceptance of this Agreement is not blanket consent to marketing or unrelated uses of personal information. Where consent is required, it must be obtained separately and appropriately.

12. Corrections, Closure & Removal

Please report inaccurate information, unauthorised material and changes in programme availability promptly. Where appropriate, a closed round may remain visible with its status clearly identified, rather than being presented as an opportunity still accepting applications.

ConserveConnect may correct, archive, withhold or remove listings that are outdated, cannot reasonably be verified, or raise legal or platform concerns. We will seek clarification where appropriate, although urgent concerns may require action without prior notice.

Removing a listing does not withdraw an application made to the funder or change an existing funding agreement. Search engines and other third parties may retain copies outside our control. Any records we retain will be handled in accordance with applicable law and our published policies.

13. Responsibility & Liability

ConserveConnect aims to operate the Grants section responsibly but does not guarantee enquiries, applications, eligibility, continuing availability of funds or a successful award. General listing information is not a substitute for the funder's current rules or professional advice appropriate to a particular project.

Submitters remain responsible for the information and material they supply. Funders and programme administrators remain responsible for their own funding activities. ConserveConnect remains responsible for its own acts and omissions to the extent required by law. Neither this Agreement nor a publisher statement removes that responsibility.

The responsibility and liability provisions of the Terms & Conditions apply. Nothing in this Agreement excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited. Applicable statutory rights remain unaffected.

14. Changes to This Agreement

ConserveConnect may update this Agreement to reflect changes to the service, platform functionality or applicable requirements. The current version will be published on ConserveConnect and will apply to submissions made after it takes effect.

Where a material change affects an existing submission, we will take reasonable steps to provide appropriate notice where required. The governing law and jurisdiction provisions of the Terms & Conditions apply to this Agreement.

15. Confirmation

Before submitting a grant listing as a funder or authorised representative, you will be asked to confirm:

I am authorised to submit this grant listing. I have read and agree to the ConserveConnect Grant Listing Submission Agreement and Terms & Conditions, and I acknowledge the Privacy Policy.

Acceptance is provided through the confirmation checkbox on the grant listing submission form. The statement shown here is explanatory; this page is not an interactive submission form.

Funder acceptance must not be recorded merely because an administrator has researched or published a listing. Any later acceptance by the funder or an authorised representative must be recorded separately and accurately.
